Privacy policy

Rest assured, we take the protection of your personal data to heart. We therefore invite you to read our privacy policy. In it you can find out which personal data we collect about you, why we collect it, how long we keep it and how you can exercise your rights.

Article 1 – Controller

R-Box vzw with registered office at Bosakker 47, 2440 Geel, Belgium registered with the CBE under number 0830.988.508 (hereinafter referred to as “R-Box”, “we”, “our”, “us”) is the controller. This means that R-Box determines the purpose and means of the processing of personal data.

Article 2 – Personal data

By using our services and applications, we can obtain personal data from you. This is particularly the case where:

  • You visit our website (see also “Cookie Policy“)
  • You register on our website or on a social media platform, for example as a result of placing an order, purchasing a product from the R-Box range, contacting our employees, responding to our news items or pages, etc.
  • You register for our competitions or promotional actions

We may obtain the following personal data about you:

  • Your customer data, including surname and first name, (delivery) address, email address, telephone number, invoicing data, purchase history, payment methods used, history of your contacts with our employees
  • Other personal data, including your social media account ID, your date of birth, your registration data provided in connection with a registration for a competition or promotional action

Article 3 – Purposes of the processing

General purposes

R-Box will use your personal data for the following general purposes:

To be able to offer the service you have requested

We collect certain personal data from you in order to be able to offer the service you have requested (e.g. your delivery address in the context of a delivery, your invoicing data in order to be able to invoice you correctly, etc.).

To comply with legal obligations

In certain cases, we are legally obliged to collect or store certain personal data about you. For example, we are legally obliged to issue and store an invoice in certain circumstances (e.g. in the case of a distance sale). Consequently, we will request your billing data.

In addition, in rare cases it may happen that R-Box must disclose your personal data as a result of a court order or to comply with other mandatory laws or regulations. R-Box will always try to inform you of this, unless this is not possible due to legal obligations.

To detect and combat fraud and infringements

We carry out various checks to detect and combat fraud and infringements. This way we can check whether a payment has been accepted before we deliver the product to the customer.

To improve our services and processes

We evaluate our services and processes on the basis of your contacts with our employees. With a view to improving our services and processes, we also carry out trend analyses using pseudonymised and aggregated data.

Direct marketing purposes

If you have given your consent, we may use your data for direct marketing purposes. You can withdraw this consent at any time, without justification and free of charge, for example by clicking on the unsubscribe link provided for this purpose, at the bottom of each promotional e-mail message or by contacting R-Box by post (R-Box vzw, Bosakker 47, 2440 Geel, Belgium).

Article 4 – Transfer to third parties

R-Box will not sell your personal data, nor rent, distribute or otherwise make commercially available to third parties, except as described above or with your prior consent.

In the event of a complete or partial reorganisation or transfer of activities of R-Box, this may mean that your data will be transferred to new entities or third parties through which R-Box’s business activities are carried out in whole or in part. We will try to inform you of this in advance.

Article 5 – Duration of the processing

We do not store your personal data for longer than is necessary to achieve the purpose for which we collect it. Depending on the purpose, the retention period may be different. For example, R-Box is legally obliged to keep track of issued invoices for 7 years. In addition, we consider it legally necessary to retain certain data as evidence in the event of disputes and this for a maximum of 10 years.
Unless a longer retention period is required by law, we delete or anonymize your data 10 years after your last contact with R-Box.

Article 6 – Your rights and their exercise

Right of access and inspection

You always have the right to access the personal data that we process about you free of charge at any time and to obtain additional information about this.

Right of correction, deletion and restriction

You are free to share your personal data with R-Box or not. In addition, you have the right to request us to correct or supplement your personal data. You also have the right to have your data deleted. In that case, you must take into account that we can no longer offer certain services and products. For example, in the event of loss of your proof of purchase, we will not be able to check whether the legal guarantee has already expired.
You may also ask to restrict the processing of your personal data.

Right to object

You also have a right to object to the processing of your personal data for serious and legitimate reasons.

In addition, you have the right to object to the use of your personal data for direct marketing purposes; in such a case, you should not give reasons. You can do this by clicking on the link at the bottom of our advertising emails or by contacting us by post (R-Box vzw, Bosakker 47, 2440 Geel, Belgium).

Right of free data transfer

You have the right to obtain your personal data processed by us in a structured, commonly used and machine-readable form and/or to transfer them to other controllers.

Right to withdraw consent

Insofar as the processing is based on your prior consent, you have the right to withdraw that consent. You can do this by clicking on the link at the bottom of our advertising emails or by contacting us by post at R-Box vzw, Bosakker 47, 2440 Geel, Belgium.

Exercising your rights

You can also exercise your rights in writing, by e-mail via our contact pageor by letter (R-Box vzw, Bosakker 47, 2440 Geel, Belgium). If you exercise your rights in writing, we ask you to attach a copy of the front of your identity card. We only use the copy of your identity card to verify your identity.

Article 7 – Automatic decisions and profiling

In principle, the processing of your personal data does not include profiling and you will not be subject to automated decisions by us either.

We may keep an individual profile about you solely for the purpose of better serving you with products and proposals tailored to your needs.

Article 8 – Right to lodge a complaint

If you have any complaints about the way in which we handle your personal data, you can always contact our Data Protection Officer (Bart Maes) via the contact page. We will be happy to try to solve your problem.

This is without prejudice to an injunction before a civil court.

Article 9 – Security and confidentiality

We have developed technically and organisationally appropriate security measures to prevent the destruction, loss, falsification, alteration, unauthorised access or accidental notification to third parties of the personal data collected, as well as any other unauthorised processing of these data.

Under no circumstances can R-Box be held liable for any direct or indirect damage resulting from incorrect or unlawful use by a third party of your personal data.

We would also like to note that you are solely responsible for the use made of the website from your computer, IP address and of your identification data, as well as for its confidentiality. We advise you to also take the necessary security precautions, among other things by preventing any unauthorized access to your login and code.

Article 10 – Access by third parties

We do not pass on your personal data to third parties for commercial purposes.
In order to be able to process your personal data, we grant access to your personal data to our employees and to companies that work on our behalf. We guarantee a similar level of protection by making contractual obligations enforceable against these companies.
